We are currently looking to recruit an Office Assistant to join a young team in Warsaw. We are looking for a bright, dynamic individual who likes working in a busy environment.
- PERIOD OF EMPLOYMENT -
A contract is drawn up for a test period of 2 months and can be extended to 12 months. It can be terminated by either party one week in advance in test period and four weeks in advance after test period. Detailed information about the period of employment and regulations of terminating a contract are included in the contract.
-WORKING HOURS-
Monday to Friday the usual working time is 8-9 hours, including unpaid breaks Working time is documented on the basis of weekly employee attendance cards, filled out by the employee and confirmed by a superior.
- PLACE OF WORK -
The place of work is an office facility located in Warsaw.
- SALARY AND TAXES -
Salary conditions are provided upon request.

- PRIMARY RESPONSIBILITIES -
- Answering telephones and transferring to appropriate staff member, routing calls, and taking messages.
- Meeting and welcoming clients and visitors.
- Creating and modifying documents using Microsoft Office.
- Typing and word processing documents as needed.
- Performing general clerical duties, including but not limited to: photocopying, faxing, mailing, and filing.
- Maintaining hard copy and electronic filing system.
- Signing for and distributing UPS/DHL/Airborne packages.
- Coordinating and maintaining records of staff office space, phones, parking, company credit cards and office keys.
- Setup and coordinating meetings and conferences.
- Maintaining and distributing staff weekly schedules.
- Producing and mailing labels and reports as requested.
- Supporting staff in assigned project-based work.
- Other duties as assigned.
- ADDITIONAL RESPONSIBILITIES -
- Providing office orientation for new employees.
- Taking and transcribing minutes of Board and Committee meetings.
- Assisting staff with administrative duties as requested.
- Distributing incoming mail and preparing outgoing mail including bulk mail.
- Recording incoming cheques and donations.
- Assuming dispatch duties when necessary.
- Coordinating travel and lodging accommodations for staff, as requested.
- Organising accommodation and entertainment arrangements for company visitors.
- Assisting with completion of necessary reports as requested.
